About this opportunity

The St Vincent de Paul Society aspires to be recognised as a caring Catholic charity offering 'a hand up' to people in need. We do this by respecting their dignity, sharing our hope, and encouraging them to take control of their own destiny.

Our warehouse at Mitchell is used to sort donations for our stores to use for stock. The project to extend and renovate the warehouse is well underway, with our Mitchell retail centre recently rehoused in nearby Hoskins Street, and DA paperwork submitted. Our solar installations are also underway with 14 of the 17 sites now nearing completion. The purchase of our new, 800sqm store in Tumut is nearing completion and plans are underway to refurbish the space to accommodate retail, donations processing and social enterprises. The Project Administrator provides vital support to the Project Manager in the creation and maintenance of project documentation. They have the opportunity to participate in and learn about these exciting projects, and learn project management methodology if this is of interest.

Key Responsibilities

Administration tasks including: • Maintaining and/or assisting in the maintenance of key project records • Scheduling and attending meetings with internal and external stakeholders • Compiling and issuing reports • Recording and minuting key meetings • Collecting and delivering paperwork and samples to other parties in a Vinnies pool vehicle • Compliance with organisational policies and procedures, training requirements, legislation, health and safety, diversity, and a commitment to quality systems and continuous improvement

Selection Criteria

Skills and Knowledge • Excellent and extensive experience using MS Outlook, Word and Excel • Attention to detail, accuracy, and thoroughness • Great written and verbal communication skills with a wide range of stakeholders • The ability and drive to complete tasks

Personal Attributes • Willing to share the work that needs to be done • High ethical standards, trustworthy, works well with others and can self-manage workload • Good understanding of and ability to apply principals of privacy and confidentiality • Ability to adapt viewpoint as new information comes to light • Enthusiastic, professional, and approachable demeanour • Able to juggle multiple conflicting demands and escalate where necessary

Work Health and Safety Requirements • PPE is used as instructed where required • Covered shoes to be worn at all times whilst onsite • A valid drivers license must be held and a copy provided • Personal protective equipment as required is provided and is to be used as instructed
